Incident Management Overview
Incidents are the core of Siteflo. An incident is a record of a health, safety, or security event that occurred at a property. Incidents move through a lifecycle from creation to resolution.
Incident Lifecycle
Section titled “Incident Lifecycle”- Created — A user reports a new incident with details about what happened.
- Under Review — Staff can add comments, upload attachments, and update the incident as more information becomes available.
- Marked Critical (optional) — Incidents that require immediate attention can be flagged as critical by authorized users.
- Resolved — Once the incident has been addressed, it is marked as resolved with a summary of actions taken.
- Deleted (soft delete) — Incidents can be soft-deleted and later restored if needed.
What an Incident Contains
Section titled “What an Incident Contains”Each incident record captures:
- Title and Description — A summary and detailed account of what happened.
- Property — Which property the incident occurred at.
- Date and Time — When the incident took place (in the property’s timezone).
- Location — Location type (room, building, grounds, etc.), unit number, and additional details.
- Weather Conditions — Environmental conditions at the time, if relevant.
- Incident Classification — Categorization using incident types and sub-types.
- People Involved — Residents, staff, and guests involved, with their roles in the incident (injured, witness, etc.).
- Authorities — Whether authorities (police, fire, health department) were notified and their response details.
- Injuries — Whether injuries were reported, with details about each injury and medical providers contacted.
- Damages — Whether property damage occurred, with descriptions and estimated costs.
- Attachments — Photos, documents, or videos supporting the report.
- Actions Taken — A narrative of what has been done to address the incident.
- Comments — An ongoing log of notes and updates from staff.
Permissions
Section titled “Permissions”Not all users can perform all actions. Incident operations are controlled by role-based permissions:

All incident actions also require the user to have access to the incident’s property. See User Roles for which roles have which permissions.
